Ultimate Software, a provider of human resources, payroll and talent management applications, recently announced that Advocat, a supplier of long term services to nursing home patients in eight states in the U.S., has reported improved business result posts for its deployment of UltiPro’s SaaS (News - Alert) solution in 2006.

The company has placed an emphasis on spreadsheets for routine computations which exposed it to inconsistencies and errors in data processing, according to the company. This led the company to choose the SaaS product from Ultimate in an effort to do away with these challenges and reduce workload related to the administration of both hardware and software system for its HR and payroll functions.  

One of the major issues faced by the payroll and taxes management team at Advocat was in the consolidated workforce reporting space. With UltiPro teams are expected to do away with the process of putting together different spreadsheets for individual locations for getting the requisite data for taxation and compliance reports.

The inherent complexities in the reporting process and the categorization of the employees into six Federal Identification Numbers (FEINs) have also been addressed with this SaaS offering, according to  Susan Shires, director of Payroll and Taxes at Advocat.

 “We configured UltiPro so that we can build reports by location, pay group, or FEIN, and we get exactly what we need,” said Shires. “Before UltiPro, we never had the depth and scope of reporting that we now can get in minutes today. Relying on spreadsheets for reporting is a thing of the past.”

Post deployment of UltiPro can effectively create workforce data analysis and connect to and locate the required data, she said. The solution also helps Advocat quickly update information about their several thousand employees who work from off site locations and the simple interface helps employees who have little experience in payroll or HR. For this Advocat has employed several field workers who make the necessary changes and update the database everyday. This also frees their valuable working hours to accomplish more complicated tasks of a strategic nature rather than be involved with such mundane and routine tasks.
